This Privacy Notice demonstrates our unwavering commitment to your privacy and ensures full alignment with the Privacy Act 1988 (Cth), the Privacy and Other Legislation Amendment Act 2024, and the Australian Privacy Principles (APPs). 

At Ebix, we recognise that as a leading provider of software and e-commerce solutions to the insurance and financial sectors, the security and integrity of your information are paramount. This notice outlines how we collect, use, and safeguard your data within the current regulatory landscape, ensuring transparency in our digital operations and cross-border data management. 

  1. Our Commitment to Data Minimisation

Ebix is committed to protecting your privacy through a strategy of strict data minimisation. We only collect personal information that is reasonably necessary to provide our software and e-commerce services to the insurance industry. We do not sell your data to third-party brokers or repurpose it for secondary marketing. 

  1. Information We Collect

We collect personal information through two primary vectors: 

    • Active Collection: When you use our contact forms or support portals (for products like WinBEAT, eGlobal, Sunrise Exchange, etc.), we collect your name, business name, email address, telephone number, and the details of your enquiry. 
    • Passive Digital Telemetry: Our systems automatically generate server logs that include IP addresses, device identifiers, browser specifications, and timestamps of your activity. This data is used solely for systemic network administration and security monitoring. 
  1. Purpose of Collection and Use

Every data point we collect is mapped to a specific business function: 

    • Client Support: Facilitating technical assistance and ticket resolution. 
    • Communication: Responding to professional enquiries regarding our proprietary platforms and communicating important information to you. This may require us to store your details in our CRM software. 
    • System Integrity: Monitoring website performance and preventing unauthorised access. 
    • Quality Assurance: Activities such as internal quality assurance processes. 
    • Invoicing, Billing, and Account Management: Including storing company contact details on billing software. 
    • Compliance: We may use data for the purpose of complying with any applicable laws. 
    • Other: We may anonymise or aggregate the personal information that we collect for the purpose of carrying out customer, service, and other business analytics. 

With your consent, we may also use your information for other purposes, such as to improve and personalise our service offerings, and for marketing purposes. Please note, however, that unless you provide us with your express consent for this purpose, we will not use your information in this way. 

  1. Technical and Organisational Security

In accordance with APP 11.3, we maintain a security framework that includes both technical and administrative measures: 

    • Technical Measures: We utilise data encryption for information at rest and in transit, multi-factor authentication (MFA) for all corporate access, and advanced endpoint detection software. 
    • Organisational Measures: Our workforce undergoes recurring privacy training. We enforce strict access management protocols based on the “principle of least privilege” to ensure your data is only handled by necessary personnel. 


How do we keep your Personal Information secure?
 We will take reasonable steps to ensure the security of any information you provide to us. Any personal information we collect is stored in a secure environment accessed only by persons working at or for Ebix or its sub-contractors, who are bound by contractual obligations to keep the information secure. 

  1. Camera Surveillance Systems

Ebix uses camera surveillance systems at many of its sites for the purpose of maintaining the safety and security of its staff, visitors, and other attendees to those facilities. Ebix’s camera surveillance systems may, but will not always, collect and store personal information. Ebix will comply with the APPs and this Privacy Policy in respect of any personal information collected via its camera surveillance systems. 

  1. Job Applications

Ebix collects personal information of job applicants who have responded to an advertised position for the primary purpose of assessing and (if successful) engaging applicants. The purposes for which Ebix uses personal information of job applicants include: 

    • Employment or engagement suitability checks; 
    • Managing the individual’s employment, engagement, or placement; 
    • Insurance purposes; and 
    • Ensuring that it holds relevant contact information. 

Ebix may also store information provided by job applicants who were unsuccessful for the purposes of future recruitment or employment opportunities. 

  1. Cross-Border Data Disclosures

We do not share your personal data outside of Australia except as agreed under contractual clauses. 

In the highly unlikely scenario, and as part of the global Ebix enterprise, your business-related information (name, email provided to us, phone number, and additional information) may be disclosed to our related corporate entities and service providers located in the following jurisdictions: United States, India, United Kingdom, Canada, Brazil, New Zealand, and Singapore. 

If we do transfer data overseas or cross-border for a legitimate business need, we will implement rigorous data transfer agreements and standard contractual clauses to ensure these recipients maintain protections equivalent to the Australian Privacy Principles. 

  1. Automated Processing and AI

Ebix may utilise algorithmic logic to triage support tickets or manage internal workloads. We do not currently utilise automated decision-making processes that significantly affect the legal rights or interests of individuals without human intervention. 

  1. Data Retention and Destruction

We retain personal information only for the duration required to fulfil the primary business purpose or to meet legal compliance obligations. Once no longer required, data is destroyed securely in accordance with industry standards and our policies. 

  1. Cookies and Digital Tracking

We use cookies and tracking pixels for basic, aggregated analytics. You may manage your preferences or opt-out of non-essential tracking at any time. 

  1. Links to Other Websites

When you leave our website, you will be going to a website that is beyond our control. These other websites may collect personal information or other information from users. Ebix’s Privacy Notice does not apply to any external links or other websites. We encourage you to read the privacy notice of any website you link to from our website, especially if you share any personal information. 

  1. Your Rights and Contact Information

You have the right to access your personal information, request factual corrections, or lodge a formal privacy complaint. 

Accessing, checking, and updating the Personal Information we hold about you We will take reasonable steps to ensure that the personal information we collect from or about you is accurate, complete, and up to date whenever it is used, collected, or disclosed. You are entitled to access your information if you wish and, subject to any legal restrictions, we will happily advise you what personal information we hold about you if you request this. 

Ebix will correct records containing personal information as soon as practically possible, at the request of the individual concerned, in accordance with the Privacy Act. To ensure that your personal information is kept secure and private, you will be required to provide proof of your identity when requesting to retrieve any of your personal information. 

Depending on the nature of the request, there may be some cost to you to cover the cost of retrieving and processing the information (as permitted by the Privacy Act). We generally do not charge a fee for processing an access request unless it is complex or resource intensive.
